Costume Rental/Loan Policy

From the August, 2009, Board of Directors’ Minutes:

 

"Unless we are dealing with another theater group that lends us costumes, we will charge for costume usage."

If you or your group is interested in using Haylofters’ costumes, here is the procedure:

 

  • Contact us by leaving a message at: info@thehaylofters.com, or 262-763-9873. Include your name, contact information, what you are interested in borrowing, and proposed dates of use.
 
  • Our Costume Mistress or a Board Member will get back to you. If we think we might have items you can use, we will set up an appointment to meet you at the theater’s storage area.
 
  • If you use our items, we have an agreement you will need to fill out. A copy of it appears at the bottom of this web page. We need an adult representative of the organization to sign the agreement. We will set a return date for you to meet the Haylofters’ representative for return of the costumes.

 



FAQ

 

  1. Which items are rental-only?

 

SEVEN BRIDES: At this time, the “Seven Brides” set of brides’, brothers’, and suitors’ rental-only, and must be rented as an entire set. This includes a Millie and Adam set, and eight other colored sets (these include green bride in 2 different sizes and orange groom in 2 different sizes). They are boxed and would need to be picked up and delivered, not shipped. The brides' dresses adjust for size. For the run of a show, the rental is $150.

 

FLAPPER DRESSES: we have a matched set of 6 black fringed flapper dresses. They can be rented individually for $5, or the entire set for $20. Shipping would be extra.


OTELLO DOUBLETS: Custom-made doublets with ruffled black shirts, custom-made for "Lend Me A Tenor," are rental items at $5 apiece. (wigs, tights and boots not included). Sizes L(on left) and XL (on right).

 

  1. What is charged for other items?

 

If the item is extremely valuable or you or your theater group has not returned items in the past, or has returned them damaged or dirty, a security deposit of up to the costumes’ replacement value will be charged, fully refunded if the costumes are properly returned.

Otherwise, we charge a donation in an amount the borrower feels is reasonable.

 

  1. Are there any other requirements? Yes, we ask that items be cleaned and, if damaged, repaired in an appropriate manner before returning.
  2. How far ahead should you plan? When a show is not in rehearsal or production, a week should be adequate, but during a show, there may not be anyone available to work with you on short notice—we are all volunteers and likely to be working on the show! Try to give us much more advance notice during these times. Check our website for production schedules.

AGREEMENT 

The following is an agreement between the Haylofters, Inc., and the undersigned for the costume/prop items and the terms listed below.

The rental of these items is for the period from                             to                                . The renter is responsible for all shipping costs (or pick-up and return delivery) of the rented items. The security deposit listed will be retained by the Haylofters, Inc., in the event the items are not returned, are returned late, or are soiled, damaged, or have parts missing, ordinary wear and tear excepted. Reversible alterations are permitted, without cutting fabric. If any item is not returned, or is returned late, soiled, damaged, or with parts missing, the undersigned agrees to forfeit all or part of the security deposit solely at the discretion of the Haylofters, Inc. If no security deposit has been charged, and an item is not returned, is returned late, soiled, damaged, or with parts missing, the undersigned agrees to pay for repair, cleaning, and/or replacement cost of the item, and agrees to the terms in the Haylofters, Inc., “Valuation and Laundering” sheet. The entire amount of the security deposit will be returned if the items are returned to the Haylofters, Inc., on the agreed-upon return date and in the same condition in which they were rented. Once these items have been shipped or delivered to the undersigned, or to the representative or designee of the undersigned from the Haylofters, Inc., they are rented and are subject to the entire rental amount.

The undersigned rents items at their own risk and agrees to hold the Haylofters, Inc., its members and associates harmless for any injuries to themselves or others as a result of the undersigned’s use of these items.

Valuation and Laundering -- updated May 2011

 

Valuation: Haylofter's items are valued at the cost of their immediate replacement value.

If an item must be replaced, the value will be determined by the Haylofters' representative based on the availability of replacement items and the needs of the Haylofters. Even though an item may be used when rented, if a suitable used replacement is not available, the cost of purchasing a new replacement item will be charged. Fair market value is used, based on shopping venues such as Ebay, costume retailers, and thrift shops. Know that some of our items are vintage. The cost of replacing a hand-made custom item may be greater than a ready-made item, because of fabric and seamstress costs. Please be careful!

 

Sample values: Men's fedora: up to $45

Ladies' non-custom, non-vintage short dress: up to $7; long dress: up to $200

Ladies' custom short dress: up to $50; long dress: up to $100, plus labor

Vintage ladies eyeglasses frames: $45 and up

Square dance petticoat: $60 and up

Praire dress, long, ladies: $55 and up

Men's suit: $7 and up

Men's tuxedo coat: $45 and up

Long, custom-made items, such as tunics/togas/princess dresses: $60 and up, plus labor


Laundering: Return items as clean as you got them.

If washable; spot-clean, then launder gently in cold water and drip dry

If not washable, or dryclean but not soiled: spot-clean, freshen (Febreze-type product), and air out
